Introduction

Know Your Officer is an informational platform designed to help users navigate public departments, jurisdictions, offices, courts and responsible officers. Current areas may include GST & Taxation and Courts & Judiciary.

Know Your Officer is an independent informational platform and is not an official government website. Important information should be checked against the latest material published by the relevant authority.

Scope of This Policy

This policy applies to the Know Your Officer public website, mobile application and related account, directory, search, resource and feedback features that link to it. It does not govern websites, applications or services operated by another organisation.

Information We Collect

The information handled depends on how you use the service. It may include:

  • Account information: your name, phone number, email address and protected authentication credentials when you create an account directly.
  • Google account information: basic identity information provided for authentication if you choose Google Sign-In.
  • Technical information: device or browser details, platform, app version, IP address, security and session information, and service logs.
  • Activity information: department, jurisdiction or location selections and search terms needed to return relevant results.
  • Information you submit: suggested corrections, reports, feedback and other content entered into a form.

Google Sign-In and Account Information

If Google Sign-In is available and you choose to use it, Google authenticates you and may provide basic information associated with your Google account. Depending on the final authentication configuration, this may include:

  • a Google account identifier;
  • your name;
  • your email address; and
  • your profile image.

Know Your Officer does not receive your Google password. Basic sign-in does not request access to Gmail, Google Drive, Google Calendar, Google Contacts, Google Photos or YouTube.

Information received from Google is used to establish and secure your Know Your Officer account and to display the account information needed within the service. The exact information available depends on the permissions shown by Google when you sign in.

Information You Provide

You may provide information when registering, signing in, changing account settings, contacting support, suggesting a correction or sending feedback. Please provide only information relevant to your request and avoid including private personal information about another person.

Device and Technical Information

We may process technical information needed to operate and protect the service, such as IP address, browser or user-agent information, device name, operating platform, app version, session identifiers, timestamps and diagnostic or security events.

The public website is a static website and does not itself use advertising trackers. A hosting or content-delivery provider may still process standard request logs to deliver and secure the site.

Department, Location and Search Activity

To return relevant information, the service processes choices such as department, state, city, district, judicial district, area, ward or court category, together with search terms you enter. A location you select is not necessarily your current or precise physical location.

Limited activity or diagnostic information may be recorded where needed to operate, protect and improve the service. We do not claim to collect precise device location unless a feature asks for permission and clearly explains why it is needed.

User-Submitted Information

Some features may let users report potentially outdated officer information, suggest corrections, submit feedback or enter other information into a form. These submissions may be associated with your account and may include the content you provide and related technical records.

A submission does not automatically change directory information. It may be reviewed before any action is taken.

How We Use Information

We may use information to:

  • create, authenticate and manage accounts and sessions;
  • provide department, jurisdiction, court, officer and resource features;
  • return search results and remember user-selected context where appropriate;
  • review correction suggestions, reports, feedback and support requests;

  • meet applicable legal obligations and enforce service requirements.

Google User Data

When Google Sign-In is used, Google user data is handled only for identity, authentication, account security and the account experience described in this policy. Know Your Officer requests basic identity scopes such as openid, email and profile when Google authentication is configured for that purpose.

Know Your Officer does not use basic Google Sign-In to read content from unrelated Google services or to obtain a user’s Google password. Access would not be expanded to another Google service without updating the product experience, permissions and this policy as appropriate.

Information Sharing and Disclosure

Information may be disclosed only where reasonably necessary:

  • to infrastructure, hosting, security, authentication or support providers acting on behalf of the service;
  • to comply with applicable law, legal process or a valid request from an authorised body;
  • to investigate misuse, protect rights and safety, or secure the service; or
  • as part of a legitimate organisational transaction, subject to appropriate safeguards and notice where required.

Public directory information about officers, roles, jurisdictions, courts or offices is distinct from personal account information supplied by a user.

Data Storage and Security

We use reasonable technical and organisational safeguards intended to protect information, including access controls, protected authentication credentials and session-management practices. Information may be processed by service providers in locations where they operate, subject to applicable requirements.

No method of storage or transmission is completely secure. Users should protect their account credentials and notify support if they suspect unauthorised access.

Data Retention

Information is retained for as long as reasonably needed to provide and secure the service, maintain an account, handle submissions, resolve disputes and meet legal or operational requirements. Retention depends on the type of information and the purpose for which it is processed.

Some records may remain for a limited period after an account request where needed for security, fraud prevention, legal compliance or reliable backup processes.
